An opportunity has arisen in the Faculty of Modern and Medieval
Languages and Linguistics for an experienced administrator to work in
the Faculty's Postgraduate Office (80% of FTE: 29.2 hours per week).
The Faculty of Modern and Medieval Languages and Linguistics is a vibrant and dynamic place to work, with a dedicated and supportive Professional Services Staff Team.
You will work in the Postgraduate Office, which provides administrative support for the Faculty's postgraduate programmes, including PhD candidatures, the Faculty's six MPhil courses and a brand new MSt programme. This new role has been created in response to the expansion of the School of Arts and Humanities Centre for Film and Screen Studies (which is administered by MMLL) and a planned increased in student numbers for the MPhil in Film and Screen Studies.
Duties will include coordinating the day-to-day activities of the Postgraduate Secretaries and ensuring staff understand which daily tasks and emails they are each responsible for. You will have a supervisory role, acting as a first point of call for the Postgraduate Secretaries regarding training and advice for straightforward queries, and will refer more complex queries and issues up to the Postgraduate Administrator. You will ensure a good level of support to the team, to other staff within the Faculty, and to the postgraduate students, and ensure that deadlines are met.
This support includes, but is not limited to, dealing with
postgraduate admissions, examination processes, programme
administration, dealing with student queries and jointly managing the
Postgraduate Office emails. The successful applicant will liaise
effectively with students and staff at all levels, and assist with
postgraduate communications in the Faculty, including updating the
postgraduate web pages.
Applicants should be educated to A-level or equivalent standard with
prior experience in an administrative support role, preferably in a
relevant role in a higher education environment. Excellent verbal and
written communication skills, good IT skills for administrative
purposes, including a working knowledge of a range of computer-based
procedures, software packages and databases are essential. The
successful candidate will be highly organised with meticulous attention
to detail and commitment to accuracy in recording data and checking
written correspondence.
In the Suitability section of the application, please ensure that you explain in detail how you meet the requirements listed in the Person Profile of the Further Information document.
The closing date is midnight (BST) on Sunday 3 October 2021.
